The APAP EXPO (formerly the Resource Room) in the Hilton New York Exhibit Hall features space on three levels for nearly 400 booths for touring artists and companies, artist representatives, booking agencies, presenting groups, and service providers to the industry -- offering an unequalled opportunity for you to meet buyers, sellers, presenting organizations, intermediaries, and others who collectively lead and fuel the presenting field.

APAP EXPO exhibit booths are highly prized and sell out quickly – usually within a few weeks of open registration being open to non-returning exhibitors. Returning exhibitors who purchased a booth last year are given renewal priority on selecting their booth locations based on the number of years they have continuously participated in this conference. Each group has been notified of the specific renewal dates based on the years they have exhibited, as follows:

  • August 4-6 — 25 years plus
  • August 6-13 — 15 years plus
  • August 13-19 — 10 years plus
  • August 19-25 — Returning one to nine years
  • August 25 on — Newcomers

New exhibitors may purchase booths online beginning August 25, subject to availability. To purchase an exhibit booth, you must be a current member of the Association of Performing Arts Presenters and remain current through January 31, 2009.

All outstanding exhibitor fees must be paid/received in full September 30
Deadline for booth cancellation refund October 15
Deadline to purchase name badges at early price ($100) October 15
Deadline to purchase names badges at regular price ($150) January 8
Onsite price to purchase name badges begins ($200) January 9

All APAP Conference Deadlines

Depending on location and size, APAP EXPO exhibit booths range in price from $750 to $1,700.

The APAP EXPO in the Hilton New York Exhibit Hall is open Saturday, January 10, 2:00 pm – 6:30 pm; Sunday, January 11, 12:00 pm – 6:00 pm; and Monday, January 12, 9:00 am – 11:30 am and 2:00 pm – 5:30 pm.

APAP EXPO exhibit booths may be purchased online only. Once you have registered and logged on to the members' area, you can search the hall map to select the available booth of your choice; learn the specifics of exhibit load-ins and hours; execute your booth contract; and pay for your booth.
